Policies and Procedures:
The following information will help answer all your questions regarding your Group Tour! Because we treat everyone with individual attention, we understand that some policies and procedures may need to be modified specifically for your group. Please let us know if you have any concerns regarding any of these policies or procedures and we will be happy to handle your requests in the best possible manner.
Group Size
Most motorcoaches can accommodate 55 passengers! Group pricing is based on a minimum of 40 paying passengers. However, we understand that some groups do not meet this number, and therefore custom pricing for smaller groups can be offered. In some instances, we might be able to join your group with another in order to maintain our special low tour prices.
Departure Locations:
Your group will be picked-up at a point of your choosing. We will be happy to accommodate a second pick-up with advance notice. However, in order to maintain the proper schedule, we ask that you limit the number of departure locations to a maximum of two.
Complimentary Considerations and Commissions:
One-Day Tours:
We offer two complimentary trips when your group reaches the minimum number of 40 paying passengers. Your 41 st and 42 nd persons will be free of charge
Multi-Day Tours:
We offer two complimentary trips when your group reaches the minimum number of 40 paying passengers. Your 41 st and 42 nd persons will be free of charge. In addition, we offer 5% commission for each person above 42 passengers. On Multi-Day tours, complimentary considerations are based on double occupancy.
Extended Tours:
This policy varies depending on the type of tour (motorcoach, air, rail or cruise) and will be handled on a tour by tour basis.
Tour Pricing:
Pricing is based on several factors:
- Because transportation fee’s vary from different departure areas, prices quoted are based on three regions: The Greater Springfield/Hartford area; New Haven/Waterbury area; New London area! If your departure location is outside one of these three regions, we will be happy to quote you a price based on your point of origin.
- Multi-Day prices are quoted based on quad Occupancy. On all occasions we will also give you the single, twin and triple occupancy prices as well.
- Pricing is also based on certain patterns (days of the week, time of year, minimum group size, etc.) While we can accommodate groups outside these patterns, fee’s may vary based on request!
- Tour Prices are based on a minimum of 40 paying passengers. Smaller groups can be accommodated with the price adjusted accordingly.
Transportation:
Educational Journeys, Inc. charters modern, state-of-the-art motorcoaches from local carriers. These motorcoaches are equipped with Lavatory, TV/VCR, Reclining Seats, Climate-Controlled Heating/AC, and offer the most comfortable ride available! We know some groups prefer certain carriers and also have specific driver requests. We will be happy to handle your requests provided the carrier will work within our guidelines. In most instances, motorcoaches are capable of seating 55 passengers. Occasionally 57 passenger size motorcoaches are available.
Baggage Allowance:
Overnight Tour Passengers are allowed to bring one suitcase per person, included in the price of the tour. Each person may also carry a small overnight bag which can be kept on-board the motorcoach and handled by the traveler. Educational Journeys, Inc. assumes no liability for lost or damaged luggage or personal property.
Deposit and Final Payment Policies:
MOTORCOACH TOURS:
For One-Day Tours* a deposit of $100.00 per bus will be due within four weeks of receiving tour confirmation. Full payment will be due 30 days prior to departure.
For Multi-Day Tours* a deposit of $500.00 per bus will be due within four weeks of receiving tour confirmation. Full payment is due 30 days before departure. A Rooming List containing first and last names and rooming assignments will also be due at time of final payment! Passengers can be added and changes made even after full payment is received, based on availability.
*On all tours, an additional deposit may be required for special items such as Theater Tickets, Sports Tickets, etc.
AIR & CRUISE TOURS:
Special policies exist for each of these tour programs. Please inquire about the policies for a particular tour.
NOTE ON PAYMENTS
ALL CHECKS presented for payment should be made payable to EDUCATIONAL JOURNEYS, INC!
There will be a $20 fee for any returned checks.
Failure to comply with these payment polices could result in loss of Tour Reservations. Once space has been released, there is no guarantee that space will remain available or be available at the same rate
Cancellation Policy:
In the event you must cancel the entire tour, a minimum of 30 days notice is required!
Individual Cancellations:
One-Day Tours:* Cancellations received 7 Days or more before departure receive a Full Refund. Cancellations 6 days to 24 hours prior to departure will be charged a 50% fee. There will be No Refund for cancellations within 24 hours of departure.
Multi Day Tours:* Cancellations received more than 30 days prior to departure will receive a Full Refund. Cancellations 30 days to 15 days prior to departure will be charged a $50 fee. Cancellations received 14 days to 2 days prior will be charged 50% of the tour cost. There will be No Refund for cancellations within 48 hours of departure.
Extended Tours:* Special policies exist for all Air, Cruise or Extended Tours. Please inquire as to the exact polices regarding your tour!
*All cancellations are subject to any administrative and non-recoverable expenses (such as theater tickets, sports, tickets, airline tickets, etc.) For all cancellations, the fee will be waived if a replacement is found.
Travel Insurance Protection:
Educational Journeys, Inc. is pleased to offer two insurance options to protect your travel investments.
A. The first plan is a Mandatory Plan for the entire group. This premium would be included in the price of the tour package and everyone would be automatically covered for travel insurance.
Premiums vary according to the cost of the tour, length of tour, etc. Please inquire as to the cost and coverage for your tour. Protection MUST be purchased at the time of Tour Confirmation.
B. The second plan is a Voluntary Plan, which is optional for any person traveling on the tour. This would be an individual responsibility for the passenger to purchase the Travel Protection. Pre-Existing Medical Conditions apply, therefore; payment is due when deposit is made.
Please inquire as to the cost and coverage for your tour. Premiums vary according to the cost of the tour. Each passenger must complete an application form and mail a check directly to the insurance company.
We strongly recommend - Travel Insurance Protection.
Tours Requiring Proof of Citizenship:
In order to comply with Canadian Custom Regulations PROOF OF CITIZENSHIP is necessary. You MUST bring with you either an original birth certificate with a raised seal along with another form of picture identification, OR a valid passport. Specific “PROOF OF CITIZENSHIP” requirements for Extended Tours will be outlined on the individual Tour Flyers.
Responsibilities:
Educational Journeys, Inc. acts only in the capacity of agent in all matters connected with hotels, restaurants, tour services, attractions and transportation companies. We assume no responsibility for any damage, injury or loss resulting from any inconvenience caused by a delay, cancellation of service, strike, act of terrorism or any other condition beyond our control. We reserve the right to modify an itinerary when deemed necessary. Educational Journeys, Inc. is a member in good standing of the National Tour Association.
Gratuities for Tour Directors and Drivers:
With the exception of specially noted tours , all OVERNIGHT trips Include the services of an Educational Journeys, Inc. Tour Director. In addition, customary Drivers and Tour Directors Gratuities have Not Been Included in our tour prices. However, if you wish to have tips included in your tour prices, we suggest $2.00 per person, per day for the Tour Director and the same amount for the Bus Driver.
